At Acclaim Behavioural Health, we understand that family life can be unpredictable. If you need to cancel or reschedule an appointment, we will always do our best to accommodate your needs while ensuring appointments remain available for other families.
This policy explains how cancellations, rescheduling, and refunds are managed for appointments booked with Acclaim Behavioural Health.
Cancelling or Rescheduling an Appointment
Appointments may be cancelled or rescheduled by using the cancellation link provided in your appointment confirmation email or by contacting us at info@acclaimbh.co.uk.
If you believe you are eligible for a refund under this policy, please contact us and we will process your refund as soon as reasonably practicable.
Whenever possible, please let us know as soon as you are unable to attend.
Refund Policy
More than 48 hours’ notice
If you cancel your appointment more than 48 hours before the scheduled appointment time, you will receive:
- A full refund of any fees paid; or
- If preferred, the payment may be credited towards a future appointment.
Between 24 and 48 hours’ notice
If you cancel between 24 and 48 hours before your appointment, you will receive a 50% refund of the appointment fee.
The remaining amount helps cover the reserved appointment time that can no longer be offered to another family at short notice.
Less than 24 hours’ notice
If you cancel less than 24 hours before your appointment, no refund will normally be provided.
Missed Appointments (No-Shows)
If you do not attend your appointment without prior notice, the appointment will be treated as a missed appointment and will not normally be refunded.
Initial Parent Consultation
Initial Parent Consultations are provided free of charge. If you need to cancel or reschedule your consultation, please let us know as soon as possible so the appointment can made available to another family.
Rescheduling
Appointments may be rescheduled without charge when at least 48 hours’ notice is provided.
Requests received with less than 48 hours’ notice will be managed in accordance with this Cancellation Policy and subject to appointment availability.
Exceptional Circumstances
We understand that emergencies can happen.
If you are unable to attend due to exceptional circumstances, such as a medical emergency or other unforeseen event, please contact us as soon as possible. We will consider these situations on a case-by-case basis and may waive cancellation fees at our discretion.
If We Need to Cancel
If Acclaim Behavioural Health needs to cancel an appointment due to unforeseen circumstances, you will be offered the choice of:
- A full refund; or
- Rescheduling your appointment at a mutually convenient time.
